Requirements
- Proven experience as an Executive Assistant or similar role, supporting senior executives in a fast-paced environment.
- Strong organizational and time-management skills, with the ability to multitask and prioritize effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with using AI-powered tools for data collection and organization.
- Excellent communication skills, both written and verbal, with a proactive approach to problem-solving.
- Ability to handle confidential information with discretion and maintain professionalism under pressure.
Day to day
- The Executive Assistant provides comprehensive administrative support to senior leadership, ensuring efficient operations and proactive management of various executive responsibilities.
- Proactively manage weekly calendars, prevent scheduling conflicts, and ensure travel details are promptly updated.
- Gather and distribute key documents for leadership meetings, including deal review calls and prospect data.
- Attend and document 1:1 meetings with direct reports, tracking follow-up actions.
- Plan and document sales and marketing meetings, setting agendas and sharing materials in advance.
- Prioritize and organize executive emails, flag urgent matters, and manage folders for key documents.
- Act as the executive’s proxy when they are unavailable, handling urgent requests.
- Coordinate travel and logistics for the executive and leadership team, including meetings and events.
- Maintain organized documentation for meetings, presentations, and reports across shared platforms.
